Configuring Sales Order Dashboard (Excellenz International Implementation)

Implementation Stage 1: Configure Sales Order Dashboard Settings  

Description: Log in to Zoho CRM with administrator privileges and set up the Sales Order Dashboard for real-time analytics.

Steps:

  1. Log in to Zoho CRM.

  2. Navigate to Analytics > Dashboards and select Create Dashboard.

  3. Name the dashboard "Sales Order Dashboard" and choose a layout.

  • Administrator access to Zoho CRM.

  • Dashboard configuration options.

  • Access to create and customize dashboards.

Implementation Stage 2: Add Key Metrics and Widgets  

Description: Incorporate key performance indicators (KPIs) and widgets that display relevant sales order data.

Steps:

  1. Add widgets for essential metrics:

    • Total Orders Placed.

    • Orders in Progress.

    • Orders Delivered.

    • Revenue Generated.

  1. Configure real-time data retrieval from the Sales Order module.

  2. Set up filters for time period selection (e.g., last week, last month, quarter).

Steps to Track Sales Order Metrics Without a Dashboard:  

Option 1: Use Reports Module  

  1. Go to Zoho CRM > Reports.

  2. Click Create Report and select the Sales Order module as the primary module.

  3. Add Key Metrics:

    • Total Orders Placed

    • Orders in Progress

    • Orders Delivered

    • Revenue Generated

  1. Apply Filters:

    • Choose a time period (Last Week, Last Month, Quarter, etc.).

    • Filter by Order Status (e.g., "In Progress," "Delivered").

  1. Save the Report and run it anytime to track sales order performance.

Option 2: Export Data & Analyze in Google Sheets/Excel  

  1. Go to the Sales Order module in Zoho CRM.

  2. Click Export Data to download the sales order records.

  3. Open the file in Google Sheets/Excel and create pivot tables & charts to track key metrics.

How to Track Key Metrics Using Available Fields?  

1. Total Orders Placed  

👉 Use SO Number (Sales Order Number) or Status field

  • Go to Reports > Sales Orders

  • Select SO Number (this will give the total count of sales orders)

  • You can also group by Created Time to see orders placed in different time periods.

2. Orders in Progress  

👉 Use the Status field

  • Filter the report using Status = In Progress

  • This will show only sales orders that are not yet completed.

3. Orders Delivered  

👉 Use the Status field

  • Filter the report using Status = Delivered

  • This will give you the count of successfully delivered orders.

4. Revenue Generated  

👉 Use the Grand Total field

  • Add the Grand Total column in your report.

  • This will show the total revenue generated from all sales orders.

 

How to Create the Report in Zoho CRM?  

1️⃣ Go to Reports > Sales Orders > Create Report
2️⃣ Select Columns

  • SO Number (for total orders)

  • Status (to track "In Progress" & "Delivered" orders)

  • Grand Total (for revenue)
    3️⃣ Apply Filters

  • To get orders in progress: Filter "Status = In Progress"

  • To get delivered orders: Filter "Status = Delivered"
    4️⃣ Save & Run the Report

 


Implementation Stage 3: Configure Graphs and Charts

Steps:

  1. Add the following data visualizations:
